Project coordinator.
The Project Coordinator will support the planning, execution, and completion of various communication projects including, but not limited to, the creation of training materials, websites, annual reports, children’s books, and motion graphics videos. You will work closely with our Account Manager, Project Manager, and client to ensure projects are completed on time and within scope.

- Proficiency with project management tools (e.g. Asana, Teamwork, Trello); we use Bonsai, so experience on this platform would be a plus

What we’re offering
Compensation (hourly)
- We base our compensation on industry standards and anticipate paying between $25 and $34 per hour, based on experience.
Commitment
Hours per week
This is a permanent part time position that will be paid hourly. We are looking for 20-25 hours of your time each week and allow flexible start and end times.
Availability
While we do have flexible start and end times, and our mandatory overlap is limited to 9:00 a.m. PST to 1:00 p.m. PST Monday through Thursday.
Time off
We are closed between December 24 and January 2 annually. We are also closed on all statutory holidays. We start folks at two weeks of paid time off plus five sick days, along with birthdays off with pay.
Where you’ll work
You must be a Canadian citizen or permanent resident. You will work from home on a company computer.
Key responsibilities
- Team support: Support the Project Manager, Account Manager, and delivery team by handling day-to-day administrative tasks such as:
- Ensuring all client-provided files are stored in the appropriate place in Google Drive and linked in “tasks” for the delivery team
- Exporting client-requested file types from relevant work files.
- Setting up (and attending some) meetings, including creating agendas and circulating meeting notes afterward
- Eliciting information and content from the client, and drafting and sorting emails
- Documentation: Maintain organized project records, ensuring all documentation is up to date and easily accessible for team members, including:
- Weekly client reports
- Project profitability reports
- Meeting notes and recordings
- Task details and reference materials
- Project planning and execution: Based on key dates in an agreement, assist in creating project timelines, assigning tasks, and tracking progress in project management tools. Collaborate with the delivery team to ensure smooth project workflow and timely completion of tasks.
- Budget management: Track project expenses, ensuring adherence to budgets and notifying stakeholders of any deviations, and potentially support on invoicing.
- Risk management: Support the Project Manager in identifying potential risks, and escalate issues as needed to keep projects on track.
